Privacy Notice

Last updated: October 13, 2026

This notice describes how Birmingham Advisors, LLC (“Birmingham Advisors,” “we,” “us”) handles personal information collected through this website and its member portal.

What we collect

When you submit our contact form, we collect the information you provide: your name, email address, firm, who you are (for example, a PE firm or family office), and your message. If you sign in to the member portal, we process your account details through Google sign-in (see Google user data below). Like most websites, our infrastructure also records basic technical information such as IP address and browser type in operational logs, and we use strictly necessary cookies to keep you signed in. We do not use advertising cookies or third-party ad tracking.

How we use it

We use the information you send us to respond to your inquiry, evaluate whether and how we can help, provide our services, and keep a record of our correspondence. We store contact details in our systems, including our customer-relationship platform, so the right person at the firm can follow up. We do not sell personal information, and we do not share it with third parties for their own marketing.

Who processes it for us

We rely on a small set of service providers to operate this site and our firm — website hosting, database hosting, email and productivity tools, and CRM software. They process personal information only on our behalf and under their own contractual and security obligations.

Retention and your choices

We keep inquiry records for as long as they are relevant to a current or prospective relationship, and business records for as long as the law requires. To ask what we hold about you, or to request correction or deletion, email contact@birminghamadvisors.com and we will respond promptly.

Google user data

Members sign in to the portal with Google, and advisors can choose to connect Google Calendar and Google Drive. This section describes exactly what we receive from Google and what we do with it. It applies alongside the rest of this notice; where the two differ, this section governs data we receive from Google.

What we access, and why

  • Sign in with Google (everyone who uses the portal). Google shares your name, email address and profile picture so we can recognize you and open your account. We never see your Google password.
  • Google Calendar (advisors who choose to connect it). We read the times you are busy and the names of your calendars, so clients are offered only times you are free and you can choose which calendars count. On the main calendar of the Google account you connect for bookings, we add each confirmed session, with its Google Meet link and an invitation to the client, and remove it if the session is cancelled. We do not read what your events say.
  • Other Google calendars (advisors who choose to add one). If you add another Google account, such as a personal calendar, we read only its busy times and the names of its calendars, so you can choose which ones count. We never see event titles, guests or descriptions there, and we never add anything to that account.
  • Google Drive (advisors who choose to connect it). When you choose Save to Drive, we create one folder in your Drive and save the document there. We can see only the files the portal creates, never anything else in your Drive.

How we use it

Only to provide those features: to sign you in, to show clients the times you are free and prevent double-booking, to put confirmed sessions on your calendar, and to save the documents you choose to your Drive. We do not use Google user data for any other purpose, and we will update this notice and ask for your consent before using it in a new way.

How we store and protect it

Google user data travels over encrypted connections. The access Google grants when you connect a calendar or Drive is stored encrypted, and only the portal’s servers use it, to carry out the features above. Busy times are kept only as start and end times, for the period clients can book ahead, and are replaced each time the portal refreshes your calendar. For a session booked through the portal we keep a reference to its calendar event and its Meet link with the booking; for a document saved to Drive we keep a reference and link to the file. We also keep the email address and Google account ID of each Google account you connect, and the names of its calendars with the ones you chose, so you can see what is connected and which calendars count.

Who we share it with

Only the service providers that host the portal and its database, which process it on our behalf to run these features; anyone the law requires us to share it with; and where needed to protect the security of the portal and its users. Clients see the times you are free, never your calendar; the client you are meeting receives the session’s invitation and sees its Meet link. If Birmingham Advisors is part of a merger, acquisition or sale of assets, we will ask for your explicit consent before any Google user data is transferred. We never sell Google user data, use it for advertising, or use it to decide on credit or lending.

Who can read it

No one at Birmingham Advisors reads your Google user data unless you ask us to (for example, to help with a booking problem), it is needed for security purposes such as investigating abuse, the law requires it, or it has been aggregated and anonymized for our internal operations.

Artificial intelligence

We do not use Google user data to develop, improve or train artificial intelligence or machine-learning models.

Disconnecting, retention and deletion

You can disconnect a Google calendar on the portal’s Availability page, or Google Drive on its Intellectual Capital page, at any time. Disconnecting deletes the access we hold and, for a calendar, the busy times we copied and the account’s details. Once nothing else in the portal uses that Google account, we also withdraw our access at Google. Sessions already on your calendar and documents already in your Drive stay there; they are yours to keep or delete in Google. You can also remove the portal’s access at any time from your Google Account permissions. We keep your sign-in details while you have a portal account. To have your account and the Google user data we hold deleted, email contact@birminghamadvisors.com; we will confirm when it is done.

Limited Use

Birmingham Advisors’ use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. The use of information received from Google Workspace APIs, such as Google Calendar and Google Drive, will also adhere to the Google Workspace API User Data and Developer Policy, including its Limited Use requirements.

Changes and contact

We will update this notice as our practices or the law change, and the date above will reflect the current version. Questions about this notice go to contact@birminghamadvisors.com.
